The Administrative Assistant supports the Office of the Executive Dean and works closely with the Executive Administrative Assistant.

The Administrative Assistant is housed in the Office of the Executive Dean and reports directly to the Executive Administrative Assistant 

Duties and responsibilities:

  • In collaboration with HR, coordinates all paperwork associated with adjunct hiring
  • At the request of the Dean or designee and department chairs, prepares letters of agreement for adjuncts and for overloads for full-time faculty
  • Tracks faculty attendance
  • Coordinates and prepares paperwork and documentation for billing and payments
  • Assists with the preparation and planning for academic events
  • Prepares mail merge files for faculty and student mailings
  • Answers phones and directs inquiries, general customer service
  • Perform other duties as required or assigned

Job requirements:

  • Excellent organizational and communication skills
  • Excellent computer skills, including Word, Excel, and Powerpoint; knowledge of other professional programs (e.g., crystal reports, Astra scheduling)
  • Ability to collaborate with colleagues, faculty, and other staff member
  • Able to prioritize and work independently
  • Highly motivated and energetic
  • Detail oriented
  • Minimum two years of related experience in an academic setting
